DKU Visitor Guidelines

Duke University routinely hosts visitors associated with DKU collaborations on the Duke campus to support joint academic and research goals. The Duke Office of DKU Relations (DODR) supports DKU visitors and Duke offices inviting DKU visitors to campus. If you are planning a trip to Duke, please complete this form four weeks in advance of the trip and review these DKU Visitor Guidelines.

Transportation to/from airport – If you need assistance with transportation to/from the airport, DODR can help arrange it for you using Blue Diamond. DODR will request reimbursement from DKU. (one-way is around $130)

Lodging – It is recommended that the DKU visitor make their own lodging reservations using the links provided below. Under special circumstances, if DODR makes hotel reservations using a Duke corporate card, the DKU visitor should use their own credit card for the actual payment at the end of the stay. If the Duke corporate card is charged in error, DODR will request reimbursement from DKU.

Meals – DODR will gladly host coffee/tea, lunches, and dinners with our DKU visitors and cover the costs. If DKU visitors ask DODR to help arrange meals with Duke faculty, staff, and/or DKU students, and DODR facilitates payment, DODR will request reimbursement from DKU.

Events – If DKU visitors ask DODR to arrange any type of event (happy hour, etc.) with Duke faculty, staff and/or DKU students, and DODR facilitates payment with the venue, DODR will request reimbursement from DKU.

Visiting Research Scholars Registration – This registration is required for any visitor who participates in Duke research for more than fourteen (14) days in a 30-day period; DODR will coordinate this registration for DKU visitors to Duke.   • REDCap registration is required only for those participating in Duke research for 14 days or longer. For visits of fewer than 14 days, REDCap registration is not required.
  • REDCap registration applies exclusively to visiting research scholars engaged in research. It does not apply to academic visitors attending meetings, conferences, or other non-research engagements.
  • DKU faculty with Duke appointments, who have not signed any IP agreements, are treated as regular visitors, and should complete the REDCap registration.
  • Duke faculty seconded to DKU are Duke faculty and do not need to register.

Ideally, DKU visitors should pay for their own expenses at Duke and submit receipts to DKU for reimbursement upon their return. DODR will request reimbursement from DKU for any costs incurred on behalf of the DKU traveler.
